How to Set Up Your Business Page on Facebook and Instagram the Right Way

For many small businesses, social media is where customers check you out before they ever visit your website or call. A half-finished profile with no photo, an old phone number or a confusing name can make people move on. The good news is that getting the basics right is mostly a one-time job.

Here's a practical checklist for setting up your Facebook Page and Instagram account so they work for you.

Start With the Right Account Type

On Facebook, your business should have a Page, not a personal profile. Pages are built for businesses and give you tools like business information, messaging and insights. On Instagram, switch to a professional account (business or creator) so you get contact options and basic analytics.

Connect your Instagram account to your Facebook Page through Meta's settings. That lets you manage messages and posts in one place, and it keeps your business information in sync.

Use Your Real, Consistent Name

Use your business name exactly as customers know it, the same way on both platforms. For your Instagram handle (and Facebook username), pick something short and close to your name. If your first choice is taken, a simple addition like your city or what you do is usually better than random numbers.

Note that Facebook may limit how often you can change a Page name, so choose carefully.

Profile Picture and Cover Image

  • Profile picture: use your logo or a compact icon version of it. It appears as a small circle, so make sure it reads at that size.
  • Cover image (Facebook): use a clean, simple graphic or a good photo that shows what you do. Keep important text near the center, since it can be cropped differently on phones and computers.

Use the same profile picture on both platforms so people know they've found the right business.

Fill Out Every Business Detail

This is the part most businesses skip. Complete as much as applies to you:

  • A short, clear description of what you do and who you serve.
  • Your category (choose the most specific one that fits).
  • Phone number and email address customers should use.
  • Hours, including how you'll handle holidays.
  • Your service area, if you go to customers.
  • Your website, once it's live.

On Instagram, your bio has limited space. Say what you do in one line, add who or where you serve, and include your call to action.

Decide How You'll Handle Messages

Customers will message you, often at odd hours. Turn on notifications so you see messages, and decide who on your team answers them. Saved replies for common questions (hours, service area, how to get a quote) save time. Answering promptly and politely is one of the easiest ways to stand out.

Make Your First Posts Count

Before you invite people to follow you, add a few posts so the page doesn't look empty: a short introduction, a post about your main services, and a photo or graphic that shows your work or your team. Keep the look consistent with your logo colors.

Keep It Secure

Use a strong, unique password and turn on two-factor authentication for every account. Give team members their own access through the Page's settings or Meta's business tools instead of sharing one login. Make sure at least two trusted people have admin access, so you're never locked out if one person is unavailable.

Review It Every Few Months

Set a reminder to check your hours, contact details, description and photos a few times a year. Old information online is frustrating for customers and easy to prevent.

Add a Clear Call to Action

Facebook Pages let you add an action button, such as Send Message, Call Now or Book. Choose the one that matches how you want customers to reach you, and make sure whoever is responsible for it actually checks it. On Instagram, add contact buttons to your profile so people can call or email you in one tap.
